Managed intake for probate and inheritance practices

Stop losing clients between the first call and the consultation.

InheritOps runs your new-client intake. We answer in your firm’s voice, screen inquiries against your rules, follow through on the next step, and prepare a useful handoff for your lawyer.

Talk To Us

A managed intake team, not another software subscription.

An InheritOps intake concierge speaking attentively with a prospective client
One accountable owner
Every new call, form, and referral has someone responsible for the next step.
Screened to your rules
We use the matter types, locations, parties, and facts your firm relies on to judge fit.
Follow-up that gets done
We handle callbacks, missing information, consultation reminders, and open tasks.
Ready for counsel
Your lawyer receives a concise summary, collected documents, and a clear status.

Where good leads get lost

Voicemail is only the first leak.

Good inquiries also disappear in shared inboxes, rushed screens, unfinished forms, and forgotten callbacks. Lawyers and staff are trying to manage all of it between client work.

Calls arrive while your team is busy
New inquiries reach someone who has time to listen and take responsibility for the response.
Complicated stories need a clear screen
We collect the facts your firm needs without expecting the caller to know the name of the legal problem.
One callback is rarely enough
We keep the next step moving until the matter is scheduled, declined, referred, or closed.

What we manage

One team owns the work your staff has been trying to squeeze in.

We handle the work between a new inquiry and a prepared consultation. Your staff can see what is happening without becoming the intake team’s supervisors.

How it works

Your judgment becomes a playbook our team can run.

We build around the matters you want, the facts you need, and the point where an attorney should step in.

  1. 01

    Tell us which matters fit

We document accepted matters, locations, exclusions, conflict names, and priority signals.

  2. 02

    Set the handoff rules

We agree on scripts, response standards, scheduling, escalation, and what reaches your systems.

  3. 03

    We run intake each day

Our team answers, screens, follows up, collects information, and prepares consultations.

  4. 04

    Review what happened

We look at lead quality, open matters, dispositions, and places where the process needs to change.

Who we help

Built for practices where the first call is rarely simple.

These calls may involve grief, family conflict, questions about who the client is, or an approaching deadline. A generic receptionist script cannot sort that out.

Probate & estate administration
We collect who died, when and where, who is calling, which documents are known, and what has happened so far.
Trust & estate litigation
We identify the people involved, the disputed act or asset, important dates, existing counsel, and approaching proceedings.
Estate planning
We identify the intended client, the role of family members, the planning need, and what your attorney wants before the meeting. Legal and capacity judgments stay with the lawyer.

How the service works

Intake works when all four parts have an owner.

People, technology, operations, and outcomes work as one service. Your firm gets one team responsible for the whole intake function.

People
A trained team learns how your firm listens, screens, and speaks to families. They know when to keep asking, when to give someone space, and when to escalate.
  • Trained on your intake playbook
  • Coverage matched to your call flow
  • One owner for every open inquiry
Technology
Your phones, forms, calendar, and intake system stay connected. Automation handles reminders and task routing. People handle sensitive conversations.
  • Calls and messages in one workflow
  • CRM and calendar updates
  • Reminders and open-task alerts
Operations
We manage coverage, quality checks, escalation rules, and playbook changes. Your attorneys do not become the intake department’s supervisors.
  • Defined screening standards
  • Daily follow-up ownership
  • Regular review and coaching
Outcomes
Each inquiry has a source, status, and final disposition. You can see where matters stall and which sources reach retained clients.
  • Response and qualification status
  • Consultations booked and attended
  • Retained, declined, and referred matters

Common questions

The practical details.

Is InheritOps an answering service?

No. We answer calls, but we also screen inquiries against your rules, follow up, prepare consultations, update statuses, and hand qualified matters to your team.

Do you replace our receptionist or intake coordinator?

InheritOps can manage the full intake function or take ownership of the parts your current team cannot cover consistently. We define those responsibilities during setup.

How do you learn which matters we want?

We turn your attorneys’ acceptance criteria into a written playbook. It covers the questions to ask, the matters to decline, the facts to flag, and when an attorney should review the inquiry.

How do you handle sensitive family calls?

Our team follows your approved questions, listens without rushing the caller, and escalates legal, conflict, or capacity issues to the right person at your firm. We do not give legal advice.

Can InheritOps work with our current technology?

We start with the tools you already use. During setup, we map your phones, forms, calendar, and case management system. We build the workflow around them where that makes sense.

What reaches the lawyer before a consultation?

The lawyer receives a concise matter summary, key names and dates, relevant documents collected, the communication history, and any unresolved questions.
